Building a Function From Zero: Three Rules

The hardest program I’ve run didn’t have a budget line or a big announcement. It was standing up my medical group’s first medical logistics function.

There was no process to improve, because there was no process. Procurement, asset accountability and equipment maintenance all had to be built from nothing, under DoD standards, while the unit kept more than 1,000 people medically ready.

Three things I’d tell anyone building from scratch

  1. Write the process down before you scale it. If it lives in one person’s head, it leaves when they do.
  2. Count everything early. Accountability problems are cheap at 50 items and expensive at 5,000.
  3. Pick the reporting rhythm on day one. A weekly report nobody skips beats a perfect dashboard nobody opens.

Why it matters past the military

Every small business and every rental home I run now follows the same three rules. A business that only works when the owner remembers everything isn’t a business yet. It’s a job with extra steps.

Military service is described in a personal capacity. It does not imply endorsement by the Texas Military Department, the Air National Guard or the Department of Defense.
